The Story Behind Quidi
Every great operational solution begins with a quiet frustration. For manufacturing and distribution companies, that frustration was an accepted cost of doing business: invoice processing was slow, manual, and filled with repetitive clerical work.
When advances in AI vision and document intelligence emerged, we saw an opportunity to challenge the status quo. We knew we could rethink how transactional workflows were handled and automate them end-to-end. What we didn't know was that solving this problem would lead us to discover a fundamental flaw in the supply chain data lifecycle -and unlock an entirely new way for organizations to source and procure goods.
This is the story of how Quidi evolved from a localized Accounts Payable (AP) automation tool into a comprehensive Supply Chain Intelligence layer.
The Illusion of AP Automation
The first iteration of Quidi was built to solve a clear and present bottleneck: Accounts Payable (AP) automation. The platform was engineered to handle the heavy lifting of document processing:

Automated Ingestion: Monitoring inbound mailboxes to capture invoices immediately.

AI Extraction: Identifying and extracting transactional line-item data from unstructured documents without relying on traditional, rigid OCR.

Smart Routing: Directing transactions through validation and approval workflows.

ERP Integration: Synchronizing approved vouchers seamlessly into backend ERP systems.
The Roadblock
The initial results were strong, and companies quickly saw the value of reducing manual data entry. But as the platform expanded into more manufacturing and distribution environments, a frustrating trend emerged: the expected ROI on human-hour savings was hitting a wall.
The challenge wasn’t simply extracting invoice data. The challenge was that invoices, purchase orders, receipts, supplier pricing, and procurement records often didn’t agree with one another. Once automated 3-point matching was introduced, the system flagged exceptions constantly. Every day, AP teams were stuck manually resolving price mismatches and line-item errors.
We realized we hadn’t solved the root problem—we had just built a faster interface to manage the chaos. The breakdown wasn't happening in AP. It was happening well before the invoice ever arrived.
Moving Upstream to the Source
To fix the exception queues, we had to look upstream. Deep research across procurement teams, sourcing departments, and supply chain operations revealed a common pattern: supplier catalogs and pricing data were still being maintained through highly manual, fragmented processes.
When releasing a purchase order, buyers frequently relied on:

Copied historical purchase orders.

Disconnected, manual desktop spreadsheets.

Slow, manual ERP updates.

Incomplete supplier information.
Because POs were regularly created using stale or inaccurate procurement data, downstream invoice discrepancies and matching failures were mathematically guaranteed. The automation bottleneck wasn’t an AP problem - it was a supplier data problem.
The Pivot to Quidi Catalog
This insight led to the development of Quidi Catalog. We tuned our semantic intelligence engine to ingest the most chaotic documents in the industry - supplier catalogs across PDF, Excel, and EDI formats.
By automatically extracting structured product and pricing data and synchronizing it directly with the ERP and procurement systems before a PO is ever generated, we corrected the data chain at the source.
The Impact
With clean POs going out, clean invoices came back. Organizations saw dramatic performance gains, with clean 3-point match rates skyrocketing from an average of 60% to over 90%, creating true, scalable automation.
The Next Evolution: Unlocking Intelligent Sourcing
Fixing the data supply chain solved the AP bottleneck, but it simultaneously unlocked a massive, unanticipated opportunity.
Once supplier catalogs, pricing, ERP material masters, and procurement history were unified into a single pool of structured data, sourcing teams began leveraging the platform for a completely different use case: finding parts, evaluating alternates, comparing vendors, and improving strategic procurement decisions.
The Sourcing Bottleneck
Traditional sourcing workflows were notoriously inefficient. Procurement teams often required hours - or days - to manually search through fragmented ERP systems, legacy supplier records, historical POs, and disconnected documentation just to identify replacement parts or equivalent components.
Quidi Evolved Again
Using our core semantic product understanding, we expanded Quidi’s capabilities into intelligent sourcing. By cross-referencing ERP material masters, active supplier catalogs, and historical purchase order data, we enabled sourcing teams to execute:

The Quidi Supplier Intelligence Suite
What started as a targeted document automation initiative ultimately evolved into something much larger: a connected supplier intelligence solution spanning catalog intelligence, sourcing optimization, and AP automation.
Today, Quidi exists because procurement inefficiencies rarely originate within a single workflow. They emerge from disconnected supplier data, fragmented procurement processes, and legacy operational systems that were never designed to share intelligence across the full transaction lifecycle. By unifying data from sourcing to reconciliation, Quidi bridges the gap between back-office efficiency and strategic supply chain execution.
