Quidi uses an AI classification model to analyze the content of each file, looking at the information and signals inside the document to determine what it is, such as an invoice, purchase order, or packing slip. This allows Quidi to correctly sort mixed document packets and route each document into the right processing workflow automatically.
The required fields are configurable based on your workflow, and Quidi clearly marks them in the validation screen, so users know exactly what must be completed before confirming. In most invoice workflows, this includes core invoice details such as invoice number, invoice date, due date and payment terms, vendor, and any required coding fields. Once all required fields are complete, the invoice can be confirmed and routed to the next step in your process.
We start with a short onboarding to understand your current workflow and confirm the exact fields your team needs to capture and approve. Then we configure Quidi to match your requirements and validate it using real sample documents, so your team can confirm everything looks right before going live. As you begin processing, Quidi also supports exception review and adjustments to ensure accuracy stays high as new vendors and edge cases show up
Quidi extracts and validates all relevant fields from documents (including quantities, descriptions, and line items) — not just pricing.
Most invoice exceptions trace back to inconsistent supplier catalog data, such as mismatched pricing, units of measure, or part identifiers, rather than errors in the invoice itself.
Quidi uses AI to read and reconcile invoice data against purchase orders and receipts automatically, catching mismatches from inconsistent supplier data before they become manual exceptions for the AP team to resolve.
Quidi routes invoices through approvals using a workflow that matches how your team already operates, so invoices move quickly while still maintaining the right controls. Multi-round approvals: Set up sequential approvals so invoices automatically move from one approver to the next. This is ideal for higher-value purchases or policies that require additional oversight. Substitutes: Keep work moving when someone is out by assigning a substitute approver, preventing delays and bottlenecks. Reminders: Configure approval reminders based on your preferences, helping ensure invoices do not sit unattended and keeping cycle times predictable.
Quidi supports an approval workflow, and we refer to items as Pending Approval vs Approved.
In the current Quidi flow, invoice data/files are deleted from Quidi’s temporary processing storage after a successful voucher creation/posting.
We support both 2-way and 3-way matching. For 3-point matching receiving, Quidi can monitor designated mailboxes or SharePoint locations for receiving documentation and automatically include those documents in the matching process before voucher creation.
Quidi is a subscription-based product. Cost is based on the volume of processed documents, and there may be an additional fee based on integration complexity. We regularly review usage with customers to ensure they remain in the most appropriate pricing tier as additional facilities or invoice volume are added.
